Booking & Guest Requirements

• The primary booking guest must be 25 years of age or older (required by HOA and insurance compliance).
• The booking guest must be present for the entire stay.
• A valid government-issued photo ID and electronically-signed rental agreement are required within 48 hours of booking.
• Only registered guests are allowed on the property; no unregistered visitors are permitted.

Payments

• Reservations may require a deposit at the time of booking, with the balance due prior to check-in.
• Accepted payments include major credit cards, processed securely online.
• Reservations require a 50% deposit at booking
• Remaining balance and refundable security deposit due 1 month prior to check-in
• Accepted payment methods: Zelle, Venmo, Cash App (no fee), and major credit cards (credit cards subject to processing fee) 

Check-In & Check-Out

• Check-in: 4:00 PM or later.
• Check-out: 10:00 AM.
• Early check-in or late check-out may be available if the schedule allows.
• Guests will receive the smart lock access code the morning of check-in, after ID verification and electronically-signed rental agreement are completed.

Cancellation Policy

• Cancellation terms are displayed in detail throughout our site and vary by season.
• Guests are strongly encouraged to purchase travel insurance.

  • Cancel 30+ days before check-in: 100% refund

  • Cancel 15–29 days before check-in: 50% refund

  • Cancel 14 days or less before check-in: No refund

  • No-shows or early departures: Non-refundable

  Peak Season & Holiday Stays:
  (Applies during Thanksgiving, Christmas/New Year’s, Spring Break, Summer, and major holiday weekends)

  • Cancel 60+ days before check-in: 100% refund

  • Cancel 30–59 days before check-in: 50% refund

  • Cancel 29 days or less before check-in: No refund

  • No-shows or early departures: Non-refundable

  We highly recommend purchasing travel insurance to protect against unforeseen events that may affect your trip.

Occupancy & Use

• Maximum occupancy is 10 guests per cabin, including children and infants.
• Exceeding maximum occupancy may result in cancellation without refund and a $250 enforcement fee to cover cleaning/utilities.
• Cabins are for families and groups only — no parties, weddings, or large events.
• Quiet hours: 10 PM – 8 AM.

No Pets, ESA or Service Animals Policy

To protect the health and safety of our family and guests, pets, emotional support animals (ESAs), and service animals are not permitted on the property. This policy is in place due to:

• Severe allergies in our family
• Immune deficiencies affecting our family and some guests

Guests are responsible for ensuring that no animals are brought to the property.
Violation of this policy may result in reservation cancellation and additional cleaning fees.

This helps us maintain a safe, comfortable, and allergen-free environment for everyone.

House Rules

• No animals/pets allowed — this includes emotional support animals (ESAs) and service animals.
• No smoking indoors — a $500 fee applies if evidence of smoking is found (covers deodorization/ozone cleaning).
• No weapons, firearms, or hunting equipment (including BB guns, bows, crossbows, or similar).
• No fireworks of any kind — prohibited by Gatlinburg ordinance due to wildfire risk.
• No firepits or open flames — HOA and fire codes prohibit all portable or DIY setups.
• Fireplace use: Indoor fireplaces are available October–April only.
• Hot tubs: Must be used responsibly. Children under 18 require adult supervision. Do not add substances or oils to the water.
• Furniture & electronics: Do not move furniture or disconnect electronics.
• Wildlife: Feeding bears or other animals is illegal and dangerous. Always secure trash and lock cabin doors/windows.
  This will make it very clear for all guests and keep it consistent with our website’s Animal Policy.

Cleaning & Damage

• A cleaning fee is applied to every booking; it covers deep cleaning, linens, trash removal, and hot tub sanitation.
• 100% of this fee supports a dedicated local cleaner.
• Guests must report damages immediately.
• Excessive cleaning, damage, or policy violations may result in additional charges.

Safety & Liability

• Cabins include smoke detectors, fire extinguishers, and exterior cameras. Tampering with safety devices is prohibited and may result in a $250 fine and re-inspection costs.
• Guests must use caution on decks, stairs, bunk beds, and in outdoor areas.
• EV charging is not permitted — please use nearby public charging stations.
• The hosts are not liable for accidents, injuries, illness, or lost/stolen items. Guests use all amenities (including hot tubs, fireplaces, and bunk beds) at their own risk.

Community Amenities (Chalet Village)

• Seasonal access (Memorial Day–Labor Day) to pools, tennis courts, pickleball, and walking trails.
• Amenities and hours are managed by the HOA and may change without notice.

Legal Acknowledgment

By booking this property, you agree that:

1. You have a primary and permanent residence elsewhere.
2. Your stay is for short-term, transient use only and does not create a landlord–tenant relationship.
3. You accept responsibility for all registered guests in your party and agree to follow these policies.
4. Guests use the property and amenities (including hot tub and bunk beds) at their own risk. Owner is not liable for incidental or consequential damages.
